Property by Ocho (“the app”) is a field-staff application used by housekeeping and maintenance staff of businesses that manage properties with OchoHub. It is operated by 8Vision Digital Ltd (“we”, “us”). This policy explains what data the app handles and why.
Who the app is for
The app is used by staff of property-management businesses. Staff sign in with the OchoHub account issued by their employer; the app cannot be used without one.
Data we collect and why
- Staff account details. Staff sign in with an email address and password. Authentication is provided by Google Firebase. Your name is shown against jobs assigned to you on the rota.
- Location. When you complete a safety-critical checklist item (for example a smoke alarm test), the app records the time and your device’s location as proof the check was done at the property. Location is captured only at that moment — the app does not track you in the background — and is stored with the checklist record in your employer’s OchoHub workspace.
- Photos. Photos you take or attach to checklist items and notes are uploaded to your employer’s OchoHub workspace so the office can see them. The app accesses only the photos you choose.
- Camera. The camera is used to scan the office clock-in QR code and to take photos for checklists and notes. QR scanning is processed on the device only.
- Working time. Scanning the office QR code records your clock-in and clock-out times in your employer’s OchoHub workspace.
- Notes. Notes you write to the office are stored in your employer’s OchoHub workspace.
- Biometrics. Fingerprint/Face unlock is used to confirm it is you before revealing property key safe codes. Biometric data never leaves the device and is handled entirely by the operating system; we have no access to it.
- Push notifications. A push notification token is stored so the office can send you alerts. Notifications are delivered via Expo’s push service and Google Firebase Cloud Messaging.
What we do not do
- We do not track your location in the background.
- We do not sell or share personal data with third parties for marketing.
- We do not show advertising or use advertising trackers.
Data sharing
Data is shared only with the service providers that make the app work: Google Firebase (authentication, database, file storage and push messaging) and Expo (push notification delivery). Your work records (jobs, checklists, photos, notes, clock-ins) are visible to your employer inside their OchoHub workspace, as you would expect for a workplace tool. Each provider processes data under its own privacy policy and our instructions.
Data retention and your rights
Account data is kept while your staff account is active and deleted when the account is removed. Work records belong to your employer’s workspace and are retained under their policies. Under UK GDPR you may request access to, correction of, or deletion of your personal data. Use our data deletion request page or contact us at admin@8visiondigital.co.uk and we will respond within one month.
Changes
If this policy changes materially we will update this page and the “Last updated” date above.
